Essential Job Functions:

The Rollins College Information Technology Department is seeking a Communications Coordinator to join their team!

Providing our Community With Outstanding Experiences

Help the campus feel informed and supported by sharing clear, timely, and engaging information about IT services, updates, and resources.
  • Create user-friendly IT communications for departmental colleagues, as well as students, staff, and faculty across campus.
  • Translate technical information into plain language so people understand what's happening and what they need to do.
  • Draft clear messages about service updates, outages, and major IT initiatives or events so the campus knows what to expect.
  • Coordinate sending out IT communications, developing project communication plans and maintaining a content calendar to support planning and proactive outreach.
  • Maintain and update IT communication channels-including MyRollins groups, Microsoft Teams sites, and the IT website-so information is accurate, current, and easy to find.
  • Produce a variety of communication formats, including emails, digital signage, slides, FAQs, announcements, newsletters, internal social media visuals, informational one-pagers, timelines, simple graphics, and occasional promotional materials.

Keeping our Technology Future Ready

Help enhance campus adoption of IT-provided technology by modernizing how IT communicates so information is easy to understand, easy to find, and easy for people to act on.
  • Collaborate with teams to identify training and adoption needs and contribute to the strategy and communication resources to address them.
  • Contribute to a culture of product management by helping technical teams build sustainable methods of staying current and promoting new features and capabilities of existing products
  • Partner with IT colleagues and other campus stakeholders on IT change management efforts, produce launches, and other strategic priorities for IT
  • Gather feedback from various campus audiences to inform and improve IT communication.

Building a Sustainable Team and Support Model

Support colleagues by creating clear internal communication practices and reusable resources.
  • Build a strong relationship with the College's Internal Communications office to align and collaborate on IT Communications.
  • Advise and consult with IT leadership regarding all aspects of communications, including developing strong communication strategies that meet the desired goals.
  • Support the design and development of team-specific guidelines, resources, and templates-knowledge-base articles, for example.
  • Develop templates, message guides, and reusable assets that help teams communicate clearly and consistently.
  • Create internal documentation that supports onboarding, cross-training, and shared understanding of how we work.
  • Help teams outline basic communication points for projects and workflows so information is shared in a consistent way.
  • Keep internal resources organized-templates, drafts, visuals, and past communications-so colleagues can quickly find and reuse what they need.
  • Support a culture of clear and proactive communication that strengthens collaboration and our IT service experience.

Minimum Qualifications & Education:
  • Bachelor's degree in Communications, Marketing, Journalism, English, or a related field; or a combination of education and experience that demonstrates the ability to perform the essential job functions.

Preferred Qualifications:
  • Minimum of three years of experience in communications, technical writing, marketing, or related role, preferably in a technology-driven department

Knowledge, Skills, and Abilities:

Communication & Content Creation
  • Technical Translation: Exceptional ability to translate complex technical concepts (e.g., cybersecurity alerts, infrastructure maintenance, software migrations) into plain, accessible, and engaging language for non-technical audiences.
  • Writing & Editing: Superior written communication skills with mastery of grammar, punctuation, and style; ability to adapt tone for different audiences (students vs. faculty vs. IT staff).
  • Visual Communication: Demonstrated skill in creating visually appealing assets (digital signage, one-pagers, slide decks) using tools such as Canva, Adobe Creative Cloud (InDesign/Photoshop/Illustrator), and Microsoft PowerPoint.
  • Multi-Channel Distribution: Knowledge of best practices for communicating across various channels, including intranets (SharePoint/MyRollins), email newsletters, collaboration platforms (Microsoft Teams), and digital displays.

Technical & Operational Proficiency
  • Microsoft 365 Expertise: Advanced proficiency in the Microsoft 365 ecosystem, specifically Microsoft Teams, SharePoint, and Outlook.
  • Accessibility Standards: Knowledge of digital accessibility best practices (WCAG) to ensure communications and resources are inclusive for all members of the campus community.
  • Digital Literacy: Strong aptitude for learning new technologies quickly to understand the "product" being rolled out to campus.

Strategic & Interpersonal Skills
  • how effective communication supports user adoption and minimizes resistance during technology transitions.
  • Product Mindset: Ability to think strategically about IT services as "products," focusing on user benefits, value proposition, and continuous improvement.
  • Project Management: Strong organizational skills with the ability to manage multiple communication campaigns simultaneously, meeting deadlines in a dynamic environment.
  • Collaboration: Ability to build strong relationships with diverse stakeholders, facilitating feedback loops between technical teams and campus users.

Work Schedule:
  • Full-time schedule Monday to Friday, 8:30 AM to 5:00 PM, 37.5 hours per week
  • Flexible schedules or overtime may be required to meet the demands of the academic calendars

Work Environment:
  • This is a campus-based position working in Winter Park, FL
  • Work in an indoor environment
